Ceramic Packing Lot Release: How Should COA Results Be Linked to the Actual Shipment?

Ceramic packing suppliers often provide a Certificate of Analysis showing properties such as:

acid resistance, alkali resistance, water absorption, chemical composition, or mechanical strength.

The existence of a COA is useful.

But one important procurement question remains:

Does that report actually represent the ceramic packing being shipped?

This is a traceability problem rather than another ceramic-property problem.

Generic Test Data vs Production-Lot Data

A datasheet may contain typical historical values.

A COA should ideally represent a defined:

production lot, kiln batch, or shipment lot.

These are not the same type of evidence.

For routine commercial supply, typical data may be sufficient.

For controlled EPC procurement, the buyer may require lot-specific results.

Define the Lot

Before requiring lot-based testing, the buyer and supplier should understand what constitutes a lot.

Possible definitions include:

one production batch, one kiln cycle, one raw-material batch, or another controlled quantity.

Without this definition, “test each batch” can become ambiguous.

Link Packages to the Lot

Packaging labels can include a:

batch number or production reference.

The same reference should appear on the COA.

This creates a traceable chain:

COA → production lot → shipment packages.

Confirm the Correct Product Size

Ceramic suppliers may produce several packing sizes using similar raw materials.

The COA should identify not only the material but also the relevant product or batch.

A valid chemical test from one material batch does not automatically prove dimensional conformity of another product.

Review the Right Tests

The purchaser should compare the COA against the actual PO requirements.

For example, if the critical requirement is:

alkali resistance,

an acid-resistance report alone does not close the inspection requirement.

This seems obvious but is a common documentation failure.

Sampling Should Match the Release Plan

Where independent testing is required, representative samples should be taken from the actual production lot.

The sampling procedure should prevent selective submission of a specially prepared sample unrelated to the bulk product.

Handle Retests Explicitly

If a result fails, the project should define whether:

retesting is allowed, how many samples are tested, and what happens if the retest passes.

These rules should preferably be agreed before a failure occurs.

Archive Results for Repeat Orders

Lot-based COA records become valuable during future procurement.

They allow the buyer to compare:

historical consistency and current production.

This is much stronger than relying on an unchanged marketing datasheet for many years.
