Metal Random Packing RFQs: What Information Must Be Fixed Before Suppliers Can Quote on the Same Basis?
A metal random packing RFQ can look extremely simple:
Metal Pall Ring, SS316L, 50 mm, 20 m³. Please quote.
A supplier can certainly provide a price from this information.
But that does not mean several suppliers will be quoting the same product.
For procurement teams, the important question is not whether a quotation can be generated. It is whether the quotations can be compared on a common technical basis.
Product Name Is Only the Beginning
“50 mm Metal Pall Ring” identifies a general product family.
It does not necessarily fix:
sheet thickness, exact geometry, bulk density, packing construction, manufacturing tolerance, or documentation level.
If one supplier assumes 0.4 mm sheet and another assumes 0.5 mm, both quotations may appear technically compliant while their material consumption and prices differ significantly.
The RFQ should therefore define the characteristics that materially affect cost and product identity.
Material Must Be Explicit
The required alloy should be stated clearly.
“Stainless steel” is insufficient if the project actually requires SS316L.
Where a particular material standard or certificate is required, that should also appear at quotation stage.
Otherwise, one supplier may include certified material while another prices commercial-grade stock.
Their prices cannot then be compared directly.
Thickness Is a Major Commercial Variable
For metal random packing, sheet thickness can strongly affect:
material consumption, packing weight, mechanical rigidity, and price.
If thickness is not specified, the supplier should be required to state the thickness assumed in its quotation.
This is one of the simplest ways to make technical bid comparison more transparent.
Quantity Basis Must Be Clear
The buyer should state whether the quantity is controlled by:
cubic meters, kilograms, tonnes, or pieces.
For industrial packed beds, m³ is often the most useful engineering quantity.
If suppliers price per kilogram, they should also state the conversion basis so that the purchaser can verify the corresponding packed volume.
Is This New Packing or Replacement Packing?
Replacement projects require more information.
The supplier may need:
existing packing dimensions, photographs, original datasheet, wall thickness, and operating service.
Without these, a supplier may quote a commercial Pall Ring that is similar in name but different from the installed product.
The RFQ should clarify whether the requirement is:
a commercial equivalent or a dimensional replacement.
Process Conditions Still Matter
Even when the buyer has already selected SS316L, basic process data should be provided.
Chemical environment and temperature allow the supplier to identify obvious compatibility concerns before quotation.
The packing manufacturer should not be expected to redesign the process, but it should know what service the product will enter.
Packaging Can Change Price
A quotation for:
loose woven bags,
is not commercially identical to:
export wooden cases, jumbo bags with pallets, or project-specific packing.
Packaging requirements should therefore be included before final price comparison.
Documentation Level Affects Cost
The buyer should state whether the quotation must include:
material certificates, dimensional report, inspection certificate, third-party inspection, PMI, or other project documentation.
A supplier pricing standard commercial material should not be compared directly with one pricing a full EPC documentation package.
Supplier Assumptions Should Be Visible
If some RFQ information is missing, the supplier should list its assumptions.
For example:
Quoted based on 50 mm SS316L Pall Ring, 0.4 mm nominal sheet thickness, standard export packaging, supplier standard dimensional tolerance.
This makes the quotation auditable.
Budgetary vs Firm Quotation
When major technical information is missing, procurement should distinguish between:
budgetary quotation and firm commercial quotation.
A budget price is useful during early project planning.
But it should not be treated as a fixed final offer if the technical basis later changes.
